Job Description:

Pierre Landscape is searching for a motivated and innovative--Office Administrator who will report directly to the Residential Department Manager.--The responsibilities will include but not be limited to:

  • Developing efficiencies in our Custom Homes Department, handling--follow up and follow through on all the pending incoming correspondences, schedule meetings, organize business expenses, creation of documents and--forms and--creation--of polices and procedures.--
  • Serve as the liaison between Panorama--City office and Corporate office.----
  • Provide leadership to the Team supporting repairs & maintenance, reception, mailroom, janitorial, events, moves, and food & beverage activities in the offices.
  • Coordinate work with outside vendors as necessary. Responsible for vendors of repairs & maintenance (HVAC, plumbing, electrical, etc), janitorial, movers, furniture, pest control, plants, appliances, shipping, and catering.
  • Establish and maintain strong working relationship with Management teams.
  • Ensure all requests are being responded to in a timely manner and appropriately.--
  • Establish strong working relationships with the corporate office and management teams to ensure extraordinary--service. Provide high-touch service in response to requests or issues from leadership.
  • Financial responsibility includes the development and management of the operations budget for the sites, including monthly/quarterly variance reports to leadership. Review and approval of all department expense reports, PO requests and invoice approvals, billing and collections.--
  • Manage floor plan/seating charts. Provide reporting as needed. Coordinate the management of moves/adds/changes as required.
  • Manage and oversee all Workplace communications.Qualifications and Abilities required for the position:

    • Possess excellent verbal and written skills.Must communicate well with others.
    • Strong financial reporting and budgeting background
    • Strong computer skills including proficiency in--Office and Web (e.g. Excel, Word, Outlook,--Google docs and searches,--etc.)--
    • Flexibility with regard to job responsibilities
    • Must have a minimum of 3 years of strong office administrative experience--
